Proposal follow-up template for freelancers

Use this when a custom proposal goes quiet and you want to sound specific, calm, and worth replying to.

Best timing
Send the first follow-up 3 to 5 business days after the proposal or the last meaningful reply.
Best angle
Reference the original scope, reduce friction, and offer one concrete next step.
Avoid
"Just checking in", fake urgency, and vague asks that make the client do more thinking.

Hi [client name],

I wanted to follow up on the proposal I sent over for [project name]. Based on your note about [budget / timing / priorities], I can tighten the scope around the strongest first step and keep the timeline flexible if that helps.

If it would be useful, I can send a narrower version that keeps the core outcome intact and removes anything you do not need right now.

Would you like me to send that revised version, or is there a better time for me to circle back?
